Maintenance Lifecycle

Four screens carry a maintenance issue from a tenant’s report through manager triage, resolution, and optional billing. This documentation is a map — it shows what each screen is for, where it lives in Tenantivo, and how requests move from submission to completion.

Who this doc is for: property managers and tenants using Tenantivo’s maintenance workflow. It is not a training walkthrough — it is a reference map to the four screens that shape how repair requests are submitted, tracked, resolved, and billed.

Each section describes one screen: where to find it, what it’s for, and the pieces of the interface you will interact with. Follow the flow strip above to jump around, or read straight through for the full picture.

The Screen

Tenant Request

Resident Portal workspace for submitting and tracking maintenance requests.

Location

Located within the Tenant Portal. Navigate to the Dashboard and select the Maintenance Requests workspace.

Purpose

Provide tenants with a simple way to report property issues directly to property management. Submit new maintenance requests, describe the issue, indicate the priority level, attach supporting files or images, and monitor the progress of requests through the request history.

Create maintenance request form

Subject

Enter the main issue (example: Air Conditioning Not Working).

Description

Provide additional details about the problem.

Priority

Select the urgency level of the request (Low, Medium, High).

Attachments (optional)

Upload images or documents related to the issue.

Submit request

Submit the request to property management for review.

Request history

The Request History section displays previous and active maintenance requests. Users can review request details and use the Back to Tenant Record button to return to the tenant profile.

ID — unique identifier assigned to the request Description — summary of the reported issue Status — current progress (New, In Progress, Completed) Priority — urgency level selected for the request Request date — date the request was submitted Completed date — date the request was resolved Ticket number — tracking number assigned to the request Attachments — images or documents uploaded with the request

Manager Ticket

Portfolio-wide list of all maintenance requests submitted by tenants.

Location

Located within the Manager Portal by navigating to Tenants in the sidebar menu and selecting the Requests workspace.

Purpose

Let property managers view, track, and manage all maintenance issues reported by tenants. See ticket details, update progress, add internal notes, and review what needs to be fixed across properties.

Functions of the page

Main list view

Shows all requests in a single table, allowing the manager to filter or search by columns like tenant name, property, or status.

Maintenance notes area

Inside a selected request, managers can click Add Maintenance Note to type internal updates, choose if the tenant can see the note, or delete old notes.

All maintenance requests table

The main table displays the following information for every request:

Tenant — full name of the resident who reported the issue Email — registered email address of the tenant Property — specific unit number or rental property layout Subject — quick headline summarizing the issue Description — detailed message explaining the exact problem Priority — color-coded tag (Low in green, Normal in blue, High in yellow) Status — current stage of the request (e.g., Pending in yellow) Request date — exact date and time the tenant sent the ticket Completed date — date and time when the issue was marked as fixed Ticket # — tracking code number for the work order Attachments — photos or files uploaded by the tenant ActionsView Tenant button to open the resident’s full profile

Maintenance

Individual request detail view for updating status, priority, and notes.

Location

Navigate to the sidebar menu, click Tenants, and select Requests.

Purpose

Review, track, and manage individual maintenance requests submitted by tenants. Update the request status and priority, view request details, upload attachments, and add notes for internal use or tenant communication.

Features of the page

Request details

Displays information about the maintenance request, including the tenant’s name and email, assigned property, request date, current status, priority level, and the description of the issue.

Actions panel

Update the request status, change the priority, add an external ticket number if needed, and save all changes.

Attachments

View or upload photos and documents related to the maintenance request.

Notes

Displays the history of notes for the request. Add new notes, choose whether a note is visible to the tenant, and delete existing notes when necessary.

Ledger

Tenant payment ledger for billing repair fees and tracking balances.

Location

Located within the Manager Portal by navigating to Tenants in the sidebar menu and selecting Payments.

Purpose

Manage and review the complete financial history and pending charges of a specific tenant. Track monthly rent bills, issue manual charges for repairs or late fees, check payment methods, and monitor outstanding balances.

Functions of the page

One-time payment button

Located at the top right, used to manually add a single charge (like a repair fee) or a standalone payment to the ledger.

Search ledger bar

Quickly search or filter through the list of transactions.

Navigation buttons

Includes Back to Tenants to return to the main database and View All Pending Payments to filter the view for overdue or unpaid bills.

Payment ledger table

The main ledger table breaks down every financial transaction row by row:

Due date — when the payment is due Type — charge category (e.g., Rent, Late Fee, or Damage) Amount — total charge amount Payment type — Recurring or Manual Method — payment method or status Description — details about the charge Created by — who created the transaction Stripe — Stripe sync status Actions — edit or delete a charge
