Leasing & Screening Workflow
Five screens carry a prospective tenant from application review through background screening, deposit collection, and lease signing. This documentation is a map — it shows what each screen is for, where it lives in Tenantivo, and how the stages connect before move-in.
Who this doc is for: property managers and organization admins running tenant applications and screening through Tenantivo. It is not a training walkthrough — it is a reference map to the five screens that shape the onboarding workflow.
Each section describes one screen: where to find it, what it’s for, and the pieces of the interface you will interact with. Follow the flow strip above to jump around, or read straight through for the full picture.
Applications
Section-by-section review of a prospective tenant’s rental application.
Navigate to the sidebar menu, click Tenants, select Applications, and click Review on the applicant’s record.
Thoroughly evaluate a prospective tenant’s rental application. Review submitted details component by component, leave notes, individually approve or decline sections, and make a final approval or decline decision for the entire application.
Features of the page
Applicant information
Displays the main applicant’s details, contact info, application status, and the specific property address being applied for.
Section-by-section evaluations
Individual segments — Emergency Contact, Rental History, Employment & Income, Pets, Vehicles, and Attachments — where managers review data fields and use Approve Section or Decline Section buttons along with custom feedback notes.
Manager review & decision
The final control area at the bottom provides input boxes for approval/decline reasons along with the final execution buttons: Approve Application and Decline Application.
Chat with applicant
A quick-action button at the bottom left to initiate direct communication with the prospect.
Checkr
Background screening completed by the applicant after application approval.
Once the rental application is approved and the screening fee is paid, the tenant is redirected from the Tenant Portal to Checkr to complete the background screening process.
Collect and verify all information required to perform a background screening. Applicants complete personal information, review and accept legal disclosures, provide any state-specific acknowledgments when applicable, authorize the screening, and submit their information for review.

Your personal information
Enter and verify the personal information required to complete the background screening.
Your rights
Information about the applicant’s rights regarding the background screening process. Must be reviewed and acknowledged before continuing.
Disclosure(s)
Required disclosure statements explaining how the background screening will be conducted. Must be read and accepted to proceed.
California disclosure
Additional disclosures required by certain states when applicable. Must be reviewed and acknowledged before moving forward.
Authorization
Consent for the background screening by reviewing the authorization statement and confirming agreement.
Review & submit
Review all entered information, make corrections if necessary, complete the security verification, and submit the screening request.
Approve Part 2
Review Checkr screening results and approve or decline the background check stage.
Navigate to Tenants → Applications, open the tenant application, complete the background screening process through Checkr, and access the Part 2: Background & Credit Checks section to review the screening results before approving this stage.
Review the completed Checkr background screening results and determine whether the applicant satisfies the screening requirements. Managers can review the generated reports, refresh the screening status if needed, and approve or decline Part 2 before continuing with tenant onboarding.

Displays the overall screening status and indicates whether the background check has been completed.
Screening results
Lists each screened applicant along with their screening status and screening package information.
Download reports
Download both the individual screening report and the complete Checkr report for review and recordkeeping.
Refresh status from Checkr
Synchronizes the application with Checkr to retrieve the most recent screening results.
Sync with report ID
Manually synchronize the screening results using a Checkr Report ID.
Approve, skip, or decline Part 2
Approve Part 2 continues onboarding. Skip Part 2 bypasses the stage when appropriate. Decline Part 2 rejects screening with an optional reason shared with the applicant.
Part 3
Security deposit collection and lease signing before move-in.
Navigate to the sidebar menu, click Tenants, select Applications, open the specific tenant’s application review, and scroll down to the Part 3: Deposit & Lease card.
Finalize onboarding by managing the collection of the security deposit and coordinating the signing of the lease agreement. Adjust deposit amounts, upload and preview the legal lease document, monitor signature statuses, or bypass the requirements to move the tenant immediately.

Displays the status of the deposit collection and lease signing process, providing a quick overview of onboarding progress.
Set deposit amount
Review and update the security deposit amount before proceeding with the onboarding process.
Upload lease document
Upload, replace, and preview the lease agreement that will be shared with the applicant for signing.
Bypass & skip options
Add optional notes and skip this step when necessary to continue the onboarding process.
Move in (unpaid)
Complete the move-in process without requiring the deposit or lease signing to be completed.
E-Signatures (Firma)
Centralized management of digital lease agreements, templates, and signing requests.
Navigate to the sidebar menu, click Integration, and select E-Signatures.
Centralizes the management, customization, and tracking of digital lease agreements, streamlining the process of sending individual or bulk signing requests and monitoring their real-time execution status.

Dashboard
A central hub to monitor the real-time status of sent agreements (completed, pending, expired, or voided) and manage quick actions like downloading documents or resending signing requests.
Templates
Create, store, edit, and maintain reusable lease agreement templates.
Send lease
Pick a specific template from your library, map it to an individual tenant, and initiate a single signing request.
Bulk send
Select a base template and broadcast it to multiple tenants simultaneously.
Reminders
Configure automatic notification frequencies, maximum reminder limits, document expiration timelines, and advance warning alerts.
