Planned vs Actual: Rehab Line Items on the Same Project

A single rehab total hides which trade blew the budget. Line items with a planned cost, an actual cost, and a percent complete make the overrun visible while you can still change the scope.

Tenantivo keeps two layers on Rehab Detail. Figures is the deal: purchase, rehab total, hold, financing, and profit, with Planned and Actual tabs. Rehabilitation Breakdown is the scope under that rehab total. The cost-category overview is in the real cost of a residential rehab. This article is the line-item layer.

01

Write the scope before the first invoice

Open Rehab Detail → Resources → Rehabilitation Breakdown. The Planned tab is the baseline you underwrote: categories, then lines. Each line has a title, a cost, a complete flag, percent complete, and the contact responsible. Footer totals roll the category so you can see the rehab number you typed into Figures.

Structure lines by trade, room, or area — whichever you will argue about when a change order shows up. A line without an owner becomes a group text. A line without a cost cannot be compared later. Lenders and appraisers ask for this packet; it should already be the record, not a spreadsheet you rebuild the night before a draw inspection.

02

Actual is what you spent and finished

The Actual tab uses the same shape: category grids, cost, complete, percent complete, contact, and footer totals. Update percent complete as trades finish. A walkthrough and a draw inspection go faster when progress is already on the line.

Leave Planned alone when a number changes. The gap between the two tabs is the change order. Overwriting the estimate to match the invoice erases the only evidence that the kitchen ran long. Category footers are there so you see that in the week it happens, while the next draw can still be sized to the work that is left.

03

Keep Figures as the rollup

Figures, the first accordion on Rehab Detail, holds purchase and sale, the rehabilitation total, appraisal, insurance, taxes, utilities, hold, loan, and profit. Actual Figures also tracks total paid on the note and total rehab days. Put the breakdown’s category totals into that rehab figure. Do not keep a second rehab number in email.

Draws are a third record on the same project: planned, received, and applied funds. They should agree with the line items you are funding. How draws sit next to the loan is in tracking loans and draw schedules.

04

Close the project from the same record

Cash that actually moved belongs in Rehab Detail → Resources → Financial, including hold transactions for deposits and retainers that are committed and not yet spent. Those entries are what make Actual Figures defensible at sale or refinance. The screen map — Figures, breakdown, draws, and financials — is completing a residential flip.
