Documents are a list you filter by entity: asset, tenant, application, and the specific record. Upload names the file, picks that entity, and can set a category such as Leases, Inspections, or Insurance. Search and sort by name, date, or category. If the file landed on the wrong record, edit the linked entity instead of uploading a second copy.
Where each kind of file goes
| File | Attach it to |
|---|---|
| Signed lease, addendum, move-in condition form | The tenant (or the application until they are a tenant) |
| Damage photos, insurance policy, inspection PDF | The asset or rental the photos describe |
| Formal notice you sent from Letters | The letter itself — download it from Letters; do not only drop a copy in email |
Name files so search works: “2026 lease – 14 Oak” beats “scan.pdf”.
Upload, view, and fix the link
Open Documents, filter to the entity type, then to the property or tenant. Upload chooses the file, a name, the entity, and a category when you use categories. Open a row to view it in the browser or download it. Edit name, category, or linked entity when the first choice was wrong.
Delete only when you are sure. Confirm the prompt; removal can be permanent. Prefer correcting the entity link over deleting the only copy of a lease.
Notices are not just another upload
A notice you generated as a letter already has delivery history. Keep using formal letters for that. Use Documents for the supporting file: the photo set, the contractor invoice, the policy. After a tenant-caused loss, that split is what makes the claim file readable — see insurance claims.
