Three screens carry portfolio performance from a quick metrics dashboard through categorized reports to tax-ready PDF downloads. This documentation is a map — it shows what each screen is for, where it lives in Tenantivo, and how the numbers and reports connect.

Who this doc is for: property managers, investors, and organization admins tracking portfolio performance through Tenantivo. It is not a training walkthrough — it is a reference map to the three screens that shape metrics, reporting, and PDF exports.

Each section describes one screen: where to find it, what it’s for, and the pieces of the interface you will interact with. Follow the flow strip above to jump around, or read straight through for the full picture.

The Screen

Metrics Dashboard

Quick summary of income, expenses, and open tasks across the portfolio.

Location

Located within the Manager Portal by navigating to Analytics in the sidebar menu and selecting Investment Metrics.

Purpose

Show a quick summary of how the properties and numbers are doing. Helps managers see income, expenses, and open tasks in one single place.

Functions of the page

The page organizes information into three parts: filters at the top to choose the year and month, summary cards showing quick totals, and charts and lists to track movements.

Key metric cards

Total properties Total number of properties in the system.
Active tenants How many tenants are currently renting.
Revenue Total money collected.
Occupancy rate Percentage of rented spaces.
Open maintenance requests How many repair tickets are still open.
Leases expiring How many contracts are about to end soon.
Average rent Average price of rent across the properties.
Net income Clean profit after subtracting costs.
Expenses Total money spent on repairs or maintenance.
Transactions Total count of payments logged.

Charts and graphs

Monthly revenue trend

A line chart that shows how income goes up or down every month.

Tenant status

A circle chart that shows the current state of tenants.

Top rentals by monthly rent

A bar chart comparing which properties generate the most rent money.

Expense breakdown

A pie chart that shows what categories the money was spent on.

Recent logs and alerts

Recent transactions

A simple list showing the latest payments and movements made.

Upcoming alerts (next 7 days)

A box that warns about important things happening in the next week.

The Screen

Reports

Central hub for property management documents and financial settings.

Location

Navigate to the sidebar menu, click Analytics, and select Reports.

Purpose

Act as a central hub for all property management documents and financial settings. Organizes report templates into clean categories and provides direct access to advanced accounting tools, allowing managers and investors to track portfolio performance, handle tax compliance, and manage budgets in one place.

How it works

The page layout is divided into three functional areas:

Metric categories (left sidebar)

A menu containing specific report categories. Clicking any category updates the main panel with its corresponding report options.

Report action buttons (main panel)

Interactive buttons used to open specific data sheets. Every report generated here displays detailed information and offers the option to export directly to Excel or PDF.

Quick links (bottom left)

A specialized shortcut menu used to access data entry forms, budgeting tools, the General Ledger, and PDF downloads.

Metric categories

When a category is selected from the left sidebar, the main panel displays the available reports for that section:

Transaction reports — financial transactions by date, type, asset, and summaries Asset reports — active properties, locations, and financial performance Tenant reports — occupancy, lease activity, income history, and contact information Leasing & payments — leases, rent collections, payment activity, applications, and income tracking Loan reports — loans, payment schedules, and loan performance Contact reports — contact information grouped by type or company Schedule reports — upcoming events, overdue tasks, completed tasks, and recurring schedules Maintenance reports — tenant-submitted requests and internal work orders Document reports — documents by category, date, or summary Rehab reports — renovation projects, financial summaries, and funding schedules Budget reports — budgets, spending comparisons, and budget performance Metric reports — profitability, rental yield, ROI, and other financial indicators

The Quick Links section provides direct access to commonly used financial and reporting tools:

Schedule E

PDF report generator for property performance, financial activity, and tax records.

Location

Located within the Manager Portal by navigating to Analytics in the sidebar menu and selecting Reports, then opening Download Reports (PDF).

Purpose

Generate and download PDF reports that help owners and investors review property performance, financial activity, and tax-related information. These reports can be used to monitor rental properties, analyze results, and keep important records.

Functions of the page

The page allows managers to select the report they want to generate, choose the reporting period or required filters, and generate and download PDF reports for review, accounting, or tax purposes.

Report selection

Displays the available PDF reports that can be generated based on the selected information.

Filters

Select the reporting period or other available options before generating the report.

Generate PDF

Creates and downloads the selected report in PDF format.
