AI — Photos and Lease Reads

Tenantivo can draft a note from photos and pull tenant and lease fields from a PDF. A person reviews every draft. Nothing is saved, and no deposit is charged, until you confirm.

Who this guide is for: Managers who keep a photo record of a rental, and tenants who send a maintenance request from the mobile app.

These are the AI features:

  • Before and after photos for a rental. Move-in photos are the before set. Move-out photos are the after set. A draft lists visible differences. You edit it, then save a manager note.
  • Photos on a maintenance request. On the tenant app, Add photos sits beside New Request. Up to four photos become a subject, priority, and description the tenant can change before the request is created.
  • Lease reads. On Data Management, upload a text-based lease PDF and choose Read lease. Review the tenant, unit, rent, deposit, and dates, then create the tenant.

Before and after photos for a rental

Open the tenant, then Move photos. The same link is on Inspections. Take the before set at move-in and the after set at move-out.

  1. On Move-in photos, type a room (Kitchen, Bath, Living room) and add the photo. Repeat for each room.
  2. When the tenant leaves, add the matching rooms under Move-out photos.
  3. Choose Draft comparison. Each line is a room and what looks different. Delete a line, rewrite it, or type an amount if you want one in the note.
  4. Choose Save note. The note is stored on the tenant. It does not refund or charge a deposit.
A person decides the charge. The draft only describes what is visible. Shadows, a moved rug, or a different angle can look like a change. Wear, damage, and a dollar amount stay with the manager.

Photos on a maintenance request

Tenants open Maintenance requests in the mobile app. New Request is still the typed form. Add photos is the photo path beside it.

  1. Choose Add photos, then Camera or Photo library. Use up to four photos of the same issue.
  2. On Photo request, check the subject, description, and priority (Low, Normal, High, or Emergency). Change any line that is wrong.
  3. Submit. That is the step that creates the maintenance request and attaches the photos.
The request is not created from the photo alone. Closing the form, or leaving subject or description blank, does not open a ticket.

Read a lease

Managers open Data Management and use Tenant Import. The file needs to be a text-based lease PDF. A scan with no selectable text will not fill the form.

  1. Choose the PDF, then Read lease.
  2. On Confirm lease, check first name, last name, email, phone, and the unit. Fill anything the read left blank. Warnings on the page mark fields that need a look.
  3. Check lease start, lease end, monthly rent, security deposit, late fees, and rent due day.
  4. Choose Create tenant. No tenant row is written until this button.
