Manage schedules, calendar, and tasks.
Opening the Schedule view (calendar/grid)
How to get there: In the Management app, open Schedule from the menu (or go to /Schedule/Index). (1) The schedule opens in calendar or grid view. (2) You see items by date—inspections, maintenance, showings, or other tasks. (3) Switch between week, month, or list view if the app offers it.
What you see: Dates with schedule items; click a day or item to see details or create new items.
Understanding schedule types and roles (if applicable)
What to know: Schedule types (e.g. Inspection, Maintenance, Showing) categorize items so you can filter and report. Roles: the assignee is the person responsible; the creator is who added the item. (1) When creating an item, choose the type and assignee. (2) Use type and assignee filters to see your tasks or a specific kind of work.
Tip: Consistent use of types makes it easier to run schedule reports later.
Creating a schedule item or task (date, assignee, type, description)
Steps: (1) On the Schedule page, click Add or New item (or click a date slot). (2) Set the date (and time if applicable). (3) Choose the assignee (who will do the task). (4) Select type (e.g. Inspection, Maintenance, Showing). (5) Enter a description or title. (6) Add asset or tenant link if the app supports it. (7) Save. The item appears on the calendar.
Tip: Link to an asset or maintenance ticket when relevant so the assignee has context.
Editing and deleting schedule items
Steps: (1) Click a schedule item on the calendar or list to open it. (2) Click Edit (or edit in place). (3) Change date, assignee, type, or description as needed. (4) Save. (5) To remove the item, click Delete and confirm. The item is removed from the schedule. Use edit to reschedule; use delete only when the task is cancelled.
Note: If the item is linked to a maintenance ticket, closing the ticket may update or complete the schedule item depending on the app.
Filtering by date range, type, or assignee
Steps: (1) On the Schedule page, use date range (e.g. this week, this month) to narrow the view. (2) Use type filter to show only Inspections, Maintenance, Showings, etc. (3) Use assignee filter to see only your tasks or a specific person’s. (4) Apply or clear filters as needed. Filtering helps you focus on what’s relevant without scrolling through everything.
Tip: Save a “My tasks” view by filtering to your user as assignee.
Completing or closing a task
Steps: (1) Open the schedule item when the work is done. (2) Click Complete, Mark complete, or Close. (3) Optionally add a completion note. (4) Save. The item is marked complete and may be hidden from “open” views or shown with a completed status. (5) Completed items stay in history for reporting and audit.
Why it matters: Completing tasks keeps the schedule accurate and supports completion reports.
Recurring or template schedules (if available)
Steps: (1) When creating a schedule item, look for Recurring or Repeat. (2) Set the repeat rule (e.g. monthly on the 1st, weekly on Monday). (3) Set an end date or number of occurrences if required. (4) Save. The app creates future instances automatically. (5) If the app has templates, create a template (e.g. “Monthly inspection”) and use it to add items quickly with pre-filled type and description. Recurring and templates reduce data entry for repeated tasks.
Tip: Use recurring for regular inspections or maintenance cycles.
