Manage contacts and vendors by type.

Opening Contacts and switching by type (Tenants, Lenders, Servicer, Insurance, Other)

How to get there: In the Management app, open Contacts (or go to /Contact/Index). (1) Use the type filter or tabs to switch between Tenants, Lenders, Servicer, Insurance, and Other. (2) Each view shows contacts of that type so you can manage vendors, lenders, and tenants in one place.

What you see: A list of contacts for the selected type with name, company, and contact info.

Viewing the contacts list and detail for each type

Steps: (1) Select a contact type to see that list. (2) The list shows name, company, email, phone (and sometimes address). (3) Click a contact to open their detail page: full name, company, email, phone, address, type, and any links to assets, loans, or tenants. (4) Use detail to edit or to see where the contact is used.

Tip: Search or sort the list when you have many contacts.

Adding a new contact (name, type, email, phone, address, company)

Steps: (1) On the Contacts page, click Add contact. (2) Enter name, type (Tenant, Lender, Servicer, Insurance, Vendor, etc.), email, phone, and address and company as needed. (3) Save. The contact appears in the list for that type and can be linked to assets, loans, or tenants. (4) Use the correct type so filtering and reporting work.

Note: Tenant contacts may be created automatically when you add a tenant; you can still add others (e.g. guarantor) manually.

Editing a contact

Steps: (1) Open the contact from the list. (2) Click Edit or edit fields in place. (3) Update name, type, email, phone, address, or company. (4) Save. Changes apply everywhere the contact is linked (e.g. loan servicer, asset vendor).

Tip: Keep phone and email current so you can reach vendors and lenders quickly.

Deleting a contact

Steps: (1) Open the contact. (2) Click Delete and confirm. (3) Before deleting, check whether the contact is linked to assets, loans, or tenants—you may need to unlink or replace them first, or the app may prevent deletion while in use. (4) Deleting removes the contact from the list; historical links may show a blank or “Deleted” label depending on the app.

Best practice: Prefer deactivating or marking inactive if the app supports it, so history is preserved.

Linking contacts to assets, loans, or tenants (where applicable)

Steps: (1) When editing an asset, loan, or tenant, look for a contact or vendor field. (2) Select the contact from the dropdown (or search). (3) Save. The contact is now linked—e.g. lender on a loan, vendor or owner on an asset, tenant contact on a tenant record. (4) You can then see and open that contact from the asset, loan, or tenant detail page for quick reference.

Why it matters: Linking keeps contact info in context and supports reporting by type.

Understanding when each contact type is used (tenants, lenders, servicers, insurance)

What to know: Tenants—used for tenant records and lease contacts. Lenders/Servicers—used for loans; link to the loan record. Insurance—used for insurance agents or carriers; often linked to assets for policy tracking. Vendors (if available)—used for maintenance, contractors, etc. (1) Choose the type that matches how you’ll use the contact. (2) Correct types make filtering and reports (e.g. “all lenders”) accurate.

Tip: If your app has a single “Vendor” type, use it for plumbers, electricians, etc., and use Notes to clarify.
